Accreditation rules for media representativesat the third Eurasian Women's Forum 2021
1.General provisions
1.1. Accreditation of media representatives at the third Eurasian Women's Forum 2021 (EAWF) is carried out in order to ensure appropriate conditions for media representatives to prepare and disseminate complete and accurate information about events held as part of EAWF.
1.2. Media accreditation is essential in order to attend and work at any EAWF event.
1.3. While carrying out their work, media representatives must respect the rights and lawful interests of EAWF participants and staff, and comply with generally accepted ethical standards.
1.4. In an effort to ensure the most comfortable working conditions and prompt access to all necessary resources, and in view of the considerable media interest in EAWF and the limited infrastructure capabilities of the event venue (Tavricheskiy Palace), the number of media representatives that EAWF is able to accommodate is limited.
1.5. EAWF will adhere to all COVID-19 safety requirements and recommendations set out by the Federal Service for the Oversight of Consumer Protection and Welfare (Rospotrebnadzor). The EAWF organizing committee reserves the right to set the number of accredited media representatives based on sanitary and epidemiological requirements.

1.6. The EAWF organizing committee reserves the right to determine the format of participation of media representatives in EAWF events.
1.7. Media outlets shall bear responsibility for the accuracy of information provided about their employees in accordance with Russian law.
2. Accreditation of media representatives
2.1. Accreditation procedure
Both Russian and international media representatives can apply to participate in EAWF, subject to the following conditions:
- Russian media organizations must be registered with the Federal Service for Supervision of Communications, Information Technology, and Mass Media (Roskomnadzor)
For international media representatives:
- Those who normally work in the Russian Federation must be accredited by the Russian Ministry of Foreign Affairs
- if an international media representative is not accredited by the Russian Ministry of Foreign Affairs, in addition to the application on the official website, they must be included in the official delegation representing their country and / or foreign department.
2.2. Accreditation quotas for media representatives
- Print publications:
- Newspapers: 3 representatives
- Magazines: 2 representatives
- News agencies: 4 representatives
- Online publications (including blogs): 2 representatives
- Television channels: 9 representatives
- Radio stations: 2 representatives
The number of permitted media representatives from EAWF media partners will be determined in accordance with their media partnership agreement.
2.3.Submission and review of accreditation applications
Media representatives wishing to cover EAWF events, as well as representatives of specialized and niche publications wishing to cover a specialized event in the EAWF business programme, can submit an accreditation application via the official EAWF website (2021.eawf.ru).
Applicants should complete all fields of the application form, paying particular attention to the mandatory fields marked with an asterisk.
Applications can be submitted via the official EAWF website from 16 August to 1 October 2021.
Please allow at least 10 calendar days from the closing date for your application to be reviewed.
Media accreditation is valid for the entire duration of EAWF.
2.4. Issuing accreditation badges for media representatives
Once their registration application is approved by the organizing committee, media representatives will receive an accreditation badge.
Accreditation badges are issued at accreditation points in St. Petersburg. Information about accreditation point locations and operating hours is published on the official EAWF website.
Accreditation badges may only be issued under the following conditions:
- There is a record of a confirmed accreditation in the EAWF database
- Written consent to processing personal data has been provided
- A valid passport is provided at the accreditation point (all passport information must match the information provided on the application form), and:
- For Russian media representatives: upon presentation of media credentials or, in the case of a badge being collected by a representative under power of attorney, upon presentation of a passport copy, together with an official letter on the media organization’s letterhead with the signature of the head of the organization, and the organization’s official stamp (sample letter)
- For international media outlets accredited with the Russian Ministry of Foreign Affairs: upon presentation of a Russian Ministry of Foreign Affairs accreditation card or, in the case of a badge being collected by a representative under power of attorney, upon presentation of a passport copy, together with an official letter on the media organization’s letterhead with the signature of the head of the organization, and the organization’s official stamp
- For international media outlets not accredited with the Russian Ministry of Foreign Affairs: upon presentation of media credentials (press card)
The badge is issued to a specific individual and is not transferable during EAWF. The badge must be clearly displayed at all times while at the EAWF venue.
No other accreditation cards are valid for access to the EAWF venue.
In the event that the accreditation badge is lost, stolen, or damaged, media representatives must immediately notify staff at an information stand. Lost badges will be blocked. A duplicate badge will then be issued upon written application.
2.5. Rules and regulations for access to EAWF events
Media accreditation is essential in order to attend and work at any EAWF event.
Access for media representatives’ technical staff is granted according to the rules regarding technical staff access to the EAWF venue.
Media representatives and media representatives’ technical staff will be granted access to the venue after passing the COVID test. The procedure and details for passing the test will be clarified later. Testing must be carried out exclusively in laboratories accredited by Rospotrebnadzor. Information about accreditation points and testing procedure will be posted on the EAWF official website.
3. Refusal of accreditation
The EAWF organizing committee reserves the right to refuse accreditation to the following:
- Persons who are not media representatives and do not hold the positions specified in point 2.2 of these rules.
- Representatives of media organizations specializing chiefly in advertising, classified directories, or any highly specialized area not related to the topics covered at EAWF, with the exception of industry-specific publications.
The EAWF organizing committee reserves the right to refuse accreditation without explanation.
4. Rights and responsibilities of accredited media representatives at EAWF
4.1. Media representatives accredited at EAWF may do the following:
- Make use of all services intended specifically for journalists.
- Obtain information on official EAWF events and exhibitions (through press releases, the business programme, etc.).
- Work at the EAWF press centre during official events and use the facilities of the EAWF press centre.
- Participate in press conferences, briefings, and other press events.
4.2. Accredited EAWF media representatives must do the following:
- Verify the accuracy of any information they are given.
- Honour the requests of those providing information with regard to naming sources.
- When receiving information from officials and others, inform them that an audio/video/film/photo recording is being made.
- Present professional or other identification verifying their identity and media credentials while carrying out their work upon first request.
- Refrain from using the opportunities granted to them to conceal or falsify socially significant information, or collect information to benefit a third-party or non-media organization.
- Refrain from (stop) filming or taking photographs when asked to do so by a member of EAWF security.
- Refrain from distributing print materials within the EAWF venue without the explicit permission of the EAWF organizing committee.
- When using official information or quoting EAWF participants, observe the EAWF Acknowledgment Policy. Specifically, finished articles or pieces must contain a reference to EAWF, and the source of the information must be cited. Online coverage should include a link to the official EAWF website (2021.eawf.ru). Alteration, embellishment, or distortion of any copied (cited) information is prohibited.
