About the Forum

What is the Eurasian Women’s Forum?
The Eurasian Women’s Forum has been held regularly since 2015 and is now a major international platform bringing together women leaders from every continent to discuss the role of women in the modern world and develop shared solutions to global problems.

When and where will the Forum take place?
The third Eurasian Women’s Forum will take place on 13–15 October 2021 in St. Petersburg.

At which venues will the Forum events be held?
The Forum business programme will take place at Tavricheskiy Palace, the Parliamentary Centre and the Universe of Water museum complex.

Who is organizing the Forum?
The organizers of the third Eurasian Women’s Forum are the Federation Council of the Federal Assembly of the Russian Federation and the Interparliamentary Assembly of Member Nations of the Commonwealth of Independent States.

The operator of the Forum is the Roscongress Foundation, a socially-oriented non-financial development institution and major organizer of international conventions, exhibitions and business, public, sporting and cultural events, founded in cooperation with and by decree of the President of the Russian Federation.

What events will be included in the Forum business programme?
The Forum business programme includes plenary sessions, strategic and expert sessions with international organizations, discussion platforms including with opinion leaders, parity discussions, public-private and business dialogues, webinars, workshops and business breakfasts.

How much does it cost to participate in the Forum?
Participation in the Forum is free of charge.

How do I participate in the Forum?
A Forum Organizing Committee invitation is required to take part in the Eurasian Women's Forum. The event is free to attend.
Participants invited by the Forum operator (the Roscongress Foundation) will receive an email with the login and password to their personal web office.
After receiving your invitation to participate in the Forum, please confirm your participation in the personal web office on the official Forum website. If you decide not to attend the Forum, please inform the organizers of your decision through your personal web office or by contacting the Forum information centre.

When is the deadline for confirming my participation in the Forum?
If possible, please confirm your participation no later than 10 days before the start of the Forum. If you decide not to attend the Forum, please inform the organizers of your decision through your personal web office or contact the Forum information centre:

Accessing the Forum venue

How do I access the Forum venue?
The business and cultural programme venue may only be accessed with an accreditation badge for the third Eurasian Women’s Forum. The badge is the only valid document confirming a participant’s Forum accreditation.
The badge is personalized and may not be transferred to third parties. Participants should keep their badges and identity documents with them at all times while at the Forum venues.

Where do I get my badge?
Participant badges are issued at the Accreditation Centre next to the entrance to Tavricheskiy Palace. In order to avoid any inconvenience when accessing the Forum venue, participants are advised to collect their badge in good time before the start of the event programme.

What documents do I need to collect my badge?
You must present the ID provided when registering for the Forum when collecting your badge, along with an original signed copy of the personal data consent form.
If there have been any changes to your ID since submitting the application for participation, please make the corresponding changes to the data provided in the personal web office.
Before issuing a badge, the accreditation operator will make sure that the data specified in the personal web office is correct and up to date. If there are any discrepancies, it will not be possible to issue a badge on the same day.
The personal data consent form will be published on the Forum website closer to the event.

What are the requirements for the badge photograph?
Photograph requirements:

colour photograph on a light background;
-
480x640 pixels in size;
-
image format – JPG or JPEG;
-
front view of the participant’s entire face, without head covering;
-
subject’s face must take up at least 70% of the image.
If participants are unable to provide a photograph in advance, they can take a photo at the badge collection point.

How do I collect a badge for another participant?
Third parties can collect participant badges by power of attorney. In order to collect a badge on behalf of another participant by power of attorney, the authorized person must present:

their passport;
-
an original standard power of attorney;
-
a list of participants whose badges the authorized person is collecting (attached to the power of attorney);
-
passport copies of participants whose badges the authorized person is collecting (passport copies will be returned after the badges are issued);
-
signed original copies of the personal data consent form for all participants whose badges the authorized person is collecting.
A power of attorney form, an example of how to complete it and a personal data consent form will be available for download from the ‘Collecting a badge’ section of the official Forum website closer to the dates of the Forum.

Can I replace a lost or damaged badge?
If your accreditation badge is lost or damaged, please go to the Accreditation Centre. The lost badge will then be blocked and a replacement badge will be issued to the holder upon the written request of the participant.
Personal web office

What is the personal web office on the Forum website?
The personal web office is a personalized section of the official Forum website where participants can confirm participation or indicate that they cannot attend, edit personal data, upload a badge photo and book services offered by the Forum operator.
To access the personal web office, please enter the username and password found in the information letter you received along with your invitation to the Forum.

How is the confidentiality of data in the personal web office protected?
The organizers of the third Eurasian Women’s Forum adhere strictly to legal requirements on the protection of all participants’ personal data.
The personal web office has been developed using SSL data encryption to ensure the highest levels of security and confidentiality of participants’ personal data.

How do I change my personal data in the personal web office?
To change your personal data in the personal web office, please contact the Forum information centre at +7 (812) 406 7470 or ask your Roscongress Foundation specialist. The specialist’s contact details are indicated in the information letter you received along with your invitation to the Forum.

What should I do if I forget my username and password for the personal web office? (For invited participants)

To provide information about your arrival to and departure from St. Petersburg, please go to the ‘Personal information’ section and complete the relevant fields.

Where do I upload my badge photo in the personal web office?
To upload your badge photo, go to the ‘Personal information’ section and upload a photo in JPG or JPEG format.

How do I become a partner of the third Eurasian Women’s Forum?

Where can I find a list of hotels for Forum participants?
Forum participants can go to the personal web office for a list of recommended hotels and booking terms, as well as a link to download the application form.

Will transport services be organized for participants?
Free shuttles will be organized for participants and media representatives during the Forum, covering the following routes:

Will it be possible to rent a vehicle?
Participants will be able to rent a vehicle with a driver during the Forum.

Will there be food at the Forum venue?
Coffee break areas with free catering services will be organized at the Forum, as well as several restaurants that will operate on a paid basis.
All catering areas for participants and media representatives will be organized in accordance with Rospotrebnazdor requirements on organizing and holding convention and exhibition events.

COVID-19 prevention

What COVID-19 prevention measures will be taken during preparations for the Forum?
As the date of the Forum approaches, the personal web office will include various sections where Forum participants will be required to provide information about their COVID-19 immunity (presence or lack of antibodies, vaccination).
International participants are also asked to provide information about their arrival and departure from Russia to allow them to board their plane and/or enter the Russian Federation.

What COVID-19 prevention measures will be taken at the Forum venue?
The Forum will be conducted in accordance with all the necessary safety measures and recommendations to prevent the spread of the novel coronavirus COVID-19, as outlined by the Federal Service for the Oversight of Consumer Protection and Welfare (Rospotrebnadzor).
Everyone at the Forum venue will be required to wear masks and gloves. It is recommended that you change your personal protective equipment (PPE) at least every two hours and use hand sanitizer, available throughout the Forum venue.
You will be required to maintain a social distance of 1.5 m from other attendees at the Forum venue.
